📝 About the Role:

An exciting opportunity to join a leading system integration company as an Assistant at the Bidding Department! You will play an important role in preparing bid documentation, ensuring compliance, and supporting the submission process according to company procedures and deadlines.

🔹 Key Responsibilities:

Track and record bid publications. 📑
Collect, organize, and provide bid documents.
Distribute standard documents for bidding assignments.
Process and verify qualification criteria for tenders.
Prepare and submit requests for clarification, ensuring proper documentation.
Manage expiring documentation and ensure timely renewal.
Arrange insurance forms and request bank guarantees for tenders.
Prepare bidding documentation, contracts, certifications, and other necessary documents.
Translate, notarize, and verify company documents when required.
Monitor public procurement platforms for updates, clarifications, or modifications.
Upload and submit bids (electronic and physical submissions).
Maintain and archive bidding documentation (electronic & hardcopy).
Collect and organize bidder documentation.
Prepare reports on tender outcomes and update tracking systems.

📊 Additional Back-Office Duties:

  • Assist in offer preparation processes.
  • Prepare invoices and manage client orders in Navision ERP.
  • Generate and maintain sales reports.
  • Collect and organize financial documents.
  • Maintain and update client databases & contracts.
  • Perform general administrative support as needed.

🎓 What You Need to Succeed:

  • Bachelor’s degree in Economics, Business Administration, or Computer Science.
  • 3+ years of experience in a similar role.
  • Good knowledge of public procurement legislation.
  • Strong IT skills and ability to navigate procurement platforms.
  • Excellent organizational & time management skills.
  • Ability to work under pressure and meet deadlines.
  • Strong coordination and communication skills (online & in-person).
  • A team player with great interpersonal skills (a good sense of humor is a plus! 😃).
  • Fluency in English (written & spoken).
