Allocate Software is a leading international provider of workforce management software. Our application suite helps thousands of hospitals and healthcare organisations manage and optimise teams of nurses and doctors to improve patient care. We are a fast growing technology company and are establishing a new software development centre in Skopje.

Producing software products to a high level of quality is crucial to our success as a company, particularly as our products are used by healthcare organisations. The company has decided to invest significantly in an exciting new Continuous Delivery initiative to improve quality and speed to market of our products.

The Renewals Team supports the UK sales team with customer data for sales campaigns, new customer contracts and the team also manages the renewals of existing customer contracts. The Team structure is a combination of roles in UK and Macedonia across the Finance and UK Healthcare departments. 
 

Role Summary:

The role will have responsibility for managing and maintaining the customer and prospect data held in Allocate’s CRM system (Salesforce).  This will include being the central point of contact for both the Renewals Team and UK Management Team for all matters relating to customer data.      

This role will involve processing customer orders, regular reporting (pipeline / orders processed / adhoc) and providing administrative support for the UK Healthcare sales force. This will also include maintaining and updating the CRM database on behalf of Account Managers such as: customer account information, contact information, new business opportunities / sales pipeline and sales orders. There is a strong focus on data analysis in this role, you will be required to prepare regular and ad hoc reports for the Renewals Manager and relevant internal stakeholders.

This role will have overall responsibility for the data quality of Allocate’s CRM system ensuring it continues to be accurate, up to date and reliable. 

 
Responsibilities:

  • Allocate’s CRM system (Salesforce) – data entry and maintenance.  Specific responsibilities include: -
  • Preparing source data for computer entry by compiling and sorting information; establishing entry priorities
  • Processing customer and account source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the Account Managers for resolution
  • Entering customer and account data by inputting alphabetic and numeric information
  • Following established procedures for the processing of transactions in the CRM system
  • Verifying entered customer and account data by reviewing, correcting, deleting, or re-entering data
  • Creating, maintaining and updating customer / prospect account records including customer / prospect contact information in Allocate’s CRM system in conjunction with the Account Managers and the Marketing team.
  • Processing new orders on behalf of the Account Managers in the CRM system.  In addition to data entry ensuring all required information has been captured in customer contracts and that deal paperwork is complete
  • Providing regular reporting on areas such as pipeline / orders processed and other ad hoc requests.
  • Building bespoke reports within the system as required.
  • Ensuring SLA’s are correctly recorded in the CRM system
  • Periodically review with Account Managers the accuracy of customer account / contact / and contract data held within the CRM system and make updates as required.
  • Becoming the expert user of the Salesforce system within the organisation.  Contribute to the development of the system through supporting the Business Systems team through the testing of system enhancements.
  • Overall responsibility for the quality of customer data in the CRM system.
  • Ensuring that customer and company information is kept confidential.
  • Preparation of data analysis reports for the UK Sales Team and UK Management Team.
  • Project work in line with supporting the Contracts Management Team and UK Management Team as required.

 

Qualifications/Experience Required:

  • Strong knowledge of CRM systems, with Salesforce preferable.
  • Microsoft Excel skills are essential
  • Experience of working in an administrative role with business systems
  • Experience of dealing with internal and external client needs.
  • Strong organisation and data entry / validation skills
  • Accurate with excellent attention to detail, good completion skills.
  • Strong analytical skills
  • Ability to work independently
  • Educated to degree level standard, or qualified by experience
