Junior Project & Admin Assistant

 

Airbus Defence and Space is a division of Airbus Group responsible for defence and aerospace products and services. The business line Communications, Intelligence & Security is the new one-stop-shop for satellite and terrestrial communications systems, intelligence and security solutions.

 

Due to increased activity, we are looking for a Junior Project & Admin Assistant who will provide support in all project & administrative duties and will responsible for assisting the project management unit in supporting the company’s mission and values to meet the customers’ requirements. He/she will provide effective support to the project management team for a variety of cross-organization projects, define requirements and assist with execution of productivity solutions and overall project delivery. Under general direction, will provide support for all aspects of the development and implementation of assigned project tasks and activities.

 

Duties and responsibilities:

The Junior Project & Admin Assistant shall have the following responsibilities:

  • To provide an effective and high quality clerical and administrative support service
  • To prepare, collect, record project file systems and create, maintain, update and monitor manual and computerized information systems and support the teams as required
  • Manage all incoming travel requirements for contractors across service contracts and internal projects
  • Act as a focal point of contact for travel duty (TDY) related requirements
  • Explain travel procedures and guide new contractors through the travel process that needs to be followed
  • Request and select most suitable, feasible and cost-effective offers from dedicated travel agencies
  • Cross-check and quality control the offers provided by the travel agencies against commercial sites
  • Manage, cross-check and QA all travel expense reports, inclusive of receipts upon completed travels
  • Prepare travel claim packages according to contract/project requirements
  • Cross-check accuracy of incoming invoices from travel agencies, identify inconsistencies and escalate where necessary
  • Continuously seek out and implement cost saving initiatives and drive preparation of business cases for optimizing cost related to travel
  • Collecting Time sheets , coordinate with project teams on tasks as per objectives under supervision of project management unit
  • Support and/or preparation of close out project related documents
  • Develop reports and correspondence independently
  • Providing support with IT ticketing system, etc.

Essential Skills and Experience:

  • At least 1-3 years’ experience in operational support, delivery, project/service management, and/or administration
  • A proven track record of at least 1-3 years’ experience with managing a large influx of requests in a deadline oriented environment
  • Proficient in Microsoft suite of products, including Word, Excel, PowerPoint, Visio and MS Project
  • Experience working with external partners, customers and data providers
  • Experience with organizing travels is preferable
  • Strong organizational skills & excellent time management skills
  • Experience in working in a dynamic environment is desirable
  • Ability to work independently and take initiative
  • Ability to adapt and accept changing environments and priorities
  • Demonstrate proactive attitude and think outside the box
  • Have flexibility in working hours according to workload and deadlines

 

Education:

  • Bachelor's Degree or equivalent business/systems experience

Language Skill:

Fluent in both spoken and written English.

Working Hours

The work shall be performed on weekdays in accordance with the official working hours Monday – Friday.

 

Working Location:

The work shall be executed at the default office location in Skopje, Macedonia.
