Office Manager
Key Responsibilities
- Handling incoming/outgoing correspondence regarding companies guests;
- Organizing and maintaining office files;
- Maintaining calendars & contacts of the respective Manager;
- Organizing and recording appointments/meetings: preparation and distribution of agendas, compilation of materials, taking minutes and their distributing to relevant parties;
- Organizing business lunches/dinners;
- Answering phones, forwarding calls to appropriate departments/employees, taking messages;
- Translating documents;
- Responsible for all travel arrangements of the respective Manager (arranging transportation, accommodation, insurance etc.);
- Ordering goods, office supplies, etc..;
- Personal assistance;
- Preparing reports, presentations, etc.
- Correspondence with Accounting and Legal division;
Job Requirements
- High school diploma or University Degree;
- At least 3 years’ experience as Personal/Administrative Assistant, if possible in an international environment;
- Fluent in English (both written and spoken);
- Good MS office skills
- Strong planning skills
- Excellent communication skills
- Flexibility and ability to act quickly and adapt to various situations
- Strong problem solving skills
- Team player
