Consular Affairs Officer / Receptionist
The Consular Affairs Officer will be part of the Administrative and Consular Department at the Embassy. He/she provides administrative and logistical support for the mission’s consular services and business processes. He/she also works as a receptionist. The officer will receive guidance and on-the-job training from senior colleagues for performing consular and receptionist administrative tasks. The duration of the employment is temporary, for a period of 12 months, to replace staff on maternity leave. The selected candidate should be available to start working on 1 January 2025.

TASKS
1. Consular support (clerical and logistic)
- receiving consular applications for travel documents, ID cards, visas and authorizations for temporary stay.
- Check that applications are complete and enter information relating to applications in the various computerized consular systems.
- Provide general, factual information and issue guidelines and advice (orally and in writing) on applications for travel documents, visas and authorizations for a temporary stay.
- handling consular cases (i.e., Dutch nationals in distress situations, detainees) and registering relevant information in the consular system.
- administering the consular records by creating, organizing, storing, weeding, and maintaining physical files and documents.
- scheduling and administering integration exams under the guidance and supervision of senior colleagues.
2. Reception
- greeting visitors and informing respective colleagues of their arrival, answering the reception phone and putting calls through.
- taking receipt of packages and goods and informing the person to whom they are addressed of their arrival.
- providing general information to visitors.
- assessing the importance and urgency of incoming correspondence and, on his/her own initiative and at his/her own discretion, appending information that is needed in order to deal with it.
- spotting irregularities and informing the person in charge or taking action him/herself.

KNOWLEDGE AND SKILL REQUIREMENTS
- Knowledge or ability to quickly learn about consular, administrative and procedural regulations relating to the area in question;
- practical knowledge of relevant local regulations and customs;
- understanding of internal administrative procedures, work instructions and formal rules on competence and procedures, as well as the organization’s duties, structure and way of working;
- skill in creating and keeping files;
- skill in using the relevant computerized and other consular systems and applications;
- skill in dealing with clients.

LEVEL OF EDUCATION / ADDITIONAL TRAINING AND KNOWLEDGE
- Higher professional education ( i.e. Bachelor Degree)
- Some experience is required;
- Excellent knowledge of the English and Macedonian language, both oral and in writing. Knowledge of Dutch and Albanian language is considered an asset.
- Good ICT skills and ability to work with Microsoft packages (Outlook, Word, Excel, Adobe Acrobat).
