Role Summary:

Allocate Software is a leading provider of workforce planning software to the Healthcare, Defence and Maritime sectors with operations in the UK, Australia, Sweden and Macedonia.​

This role is intended to be placed in the Global Renewals team and will be reporting to the Renewals Manager, covering 200+ customers engaged with the organisation over a number of years.​

The role will be principally focussed on our contract renewals process. This includes maintenance of the contracts customer base and ensuring contracts are renewed in time in line with our renewal processes. On a day to day basis, this will include issuing quotes to customers, sending reminders and escalating delays as required.​

Another aspect of the role includes the monitoring of contract terms and signalling to management where software usage is out of term. ​

The role requires a highly analytical individual, who is highly organised and personal demeanour. The successful person will be self-motivated and capable of working effectively with colleagues both within the Skopje office and across the Allocate geographies.​

Responsibilities:

  • Generate renewal quotes for customers with multi-year subscription agreements, produce proposals and process renewals in Business systems
  • Identify compliance breaches with and escalate as required within the Renewals Team and broader Account Management teams
  • Working closely with the company’s billing and sales teams — investigate and resolving issues,
  • Reviewing licence usage data and comparing to contracted licence volumes each quarter 
  • Producing graphical analysis to show usage over time
  • Investigation into breaches such as locating contracts in contracts database
  • Issuing alerts to account managers and senior management for breaches
  • Liaising with internal legal department to understand relevant Terms and Conditions and assist in drafting notification for customers
  • Understand company’s reporting process

Skills/Qualifications/Experience Required:

Essential:

  • Highly analytical and creative thinker with the ability to come up with solutions to operational

  • Strong Excel skills (pivot tables, lookups, graphical analysis)
  • Strong attention to detail
  • Good communicator - articulate and sound listener, can understand, and be understood, when presenting ideas and facts
  • Demonstrated desire and ability to adapt to and work in a dynamic, fast paced environment
  • Able to prioritise, identify conflicts and navigate clear steps to address​

Desirable:

  • Exposure and some experience creating and improving organisational processes
  • Experience working with Salesforce or other Enterprise Resource Planning (ERP) solutions
  • Experience working with data visualisation software – presenting factual and data centric information
